Job Summary

The Load Planner/Operations Support Coordinator is responsible for planning outbound container loads and supporting dispatch, warehouse, and container drayage administration.

Primary Objectives

• Accurate and efficient building of outbound container loads for assigned facilities.

• Timely and accurate updates of status information and shipment records in databases, spreadsheets, and tools.

• Validation of shipment status and locations using exception reports, spreadsheets, websites, and other tools and methods.

• Coordination of trucks and their paperwork arriving for pickup and delivery.

• Proactive support of dispatch and warehouse management teams.

Duties and Responsibilities

• Build outbound loads using efficient, cost-effective cargo consolidation and ensuring applicable restrictions, requirements, and timeframes are met.

• Collaborate with Outbound Registration coordinators to identify specific ports where consolidation is most efficient for specific shipments.

• Generate manifests for export container loads and provide to overseas Port Agents and customers upon stuffing.

• Prepare Bills of Lading (BOLs) and other shipment paperwork as needed and ensure BOLs are on hand for scheduled loads.

• Initiate regular communication with Transportation Service Providers (TSPs) and ensure information related to consolidation issues and shipment activity is provided in a timely manner.

• Partner with freight terminal managers to coordinate the drayage, physical loading, and departure of planned outbound containers.

• Reconcile Outbound Inventory weekly in conjunction with the freight terminal manager.

• Establish and maintain professional relationships with customers to ensure high levels of service.

• Monitor touch points on transportation issues, including but not limited to, RDD non conformity, potential missed deliveries, extended dwell times, and others as needed.

• Support dispatch teams by correcting problems, updating loads, and generating required paperwork for carriers, brokers, agents, and warehouses.

• Closely track and monitor cargo movements between agents and port warehouses.

• Respond to tracing requests from local agents and customer service staff.

• Research shipment statuses and update move management systems as needed.

• Respond to same day complaints and questions with communication back to customer points of contact.

• Assist with warehouse inventory monitoring and reporting.

• Other duties as assigned.

QUALIFICATIONS

Required Education

• High school diploma or equivalent (HSED)

Preferred Education

• Associate degree in Business, Logistics, or related field, or equivalent combination of coursework and experience in a directly related field

Required Work Experience

• 2+ years of experience in a warehouse environment with direct responsibility for loading and unloading freight

Preferred Work Experience

• 2+ years of experience in the transportation industry preferred

Required Knowledge, Skills and Abilities

• Knowledge of load planning standards and practices.

• Excellent customer service skills with the ability to develop effective professional relationships.

• Strong quantitative and analytical thinking skills

• Strong problem solving and multi-tasking skills

• Ability to manage workload and prioritize effectively under minimal supervision.

• Demonstrated proficiency with Microsoft Office products at the following levels:

◦ Excel, Word, and Outlook: Basic level of skill

Working Environment

This role requires work that may involve the following environmental conditions:

• Freight warehouse facility, office, outdoor yard and lot, and workshop settings, where hot, humid, cold, and other inclement weather conditions may occur.
